Ask the caterer to mark the route between preparation, service and clearing before approving decorative elements in those spaces.

If coordination costs extra, get that distinction into the quote rather than assuming someone will resolve a late kitchen handover.

A table trial is more useful than another mood board

Set out the proposed plates, glassware, serving dishes and a centrepiece together. For a seated meal, discuss how staff reach each guest without lifting decoration over food. For a buffet, walk the queue with someone carrying a plate and someone replenishing the counter. These are planning checks, not a claim that a particular table size or staffing ratio suits every meal.

Identify which items are rentals and who is responsible for loss, cleaning and collection. Put the end of the meal beside the dismantling window. A second event in the same room may require furniture to remain while flowers change; the quote should show the reset rather than silently charging for two complete installations.

Keep food decisions with the responsible kitchen

The caterer should state its preparation, storage and service requirements. • Identify the people who approve changes to furniture, counter positions and food-area access.
• Ask for exclusions, taxes, payment dates and the cost of a room reset in the written quotation.

Choose the proposal that answers the unresolved operational questions as well as showing a design you want. If one supplier cannot yet confirm a loading window, record that open item and its owner before paying. Send the approved version to the planner, venue and caterer so changes do not travel through three different family conversations.
